    We are currently seeking an experienced, dynamic and collaborative professional to serve as an Administrative Assistant III within our HR team.  Reporting to the Supervisor of Administrative Services you will:

    • provide administrative and secretarial support to the assigned Vice President and Team Members.

    Working in a creative and fast-paced environment, the Administrative Assistant II will perform a wide variety of executive and administrative duties for the Vice President and division as required by daily operations. Among others, your responsibilities will include the following:

    • Schedule appointments, conference calls, meetings, interviews and manage complex calendars.
    • Negotiate conference space, including setup and breakdown of room configurations and AV; coordinate the use of conference bridges and WebEx; log external visitors in security system to allow access to the office.
    • Demonstrate an understanding of regulations, policies and guidelines to assist clients.
    • Coordinate travel arrangements and logistics for one or more travelers that complies with the USAC Travel and Expense Policy or obtaining appropriate permissions for exceptions prior to scheduling.
    • Coordinate the approval of all invoice payments, ensuring appropriate signatures are obtained and returned to accounting for processing.
    • Prepare accurate and timely expense reports ensuring compliance with USAC polices, completing and processing forms for training and conference authorizations and licenses, certifications and memberships; coordinate the approval of all invoice payments, ensuring appropriate signatures are obtained and returned to accounting for processing.
    • Create, update, maintain and organize files and records including preparing physical materials for archiving and accurately recording content and bar codes to ensure accurate retrieval when necessary.
    • Order catering, provide setup prior to meetings and clean up after meetings.
    • Compose memo’s and assist with formatting issues.
    • Conduct Internet research to find potential solutions or solving problems.
    • Copy and collate materials as requested; fax materials and manage and distribute faxes received in the corporate mailbox; prepare and add postage to outgoing mail; distribute correspondence within the division.
    • Attend meetings to capture minutes or action items as requested; provide administrative support for quarterly Board and committee meetings.
    • Manage administrative projects requiring coordination with multiple employees, collecting date, tracking progress and ensure deadlines are met with minimal supervision.
    • Serve as backup for other administrative assistants and the corporate receptionist as required.
    • Coordinate Committee and Subcommittee meetings and take minutes of those meetings.
    • Other duties, as assigned

    • You have strong typing and computer skills utilizing Microsoft Office Suite.
    • You are comfortable researching policies and procedures and sharing knowledge with clients.
    • You have strong interpersonal skills and the ability to work in high-pressure situations.
    • You have 5 to 7 years of years of experience performing duties similar to those listed above.
    • You possess an Associate’s degree from an accredited institution.

    Through its administration of the $10 billion Universal Service Fund (USF) programs on behalf of the FCC, USAC works to promote the availability of quality services at just, reasonable and affordable rates and to increase access to advanced telecommunications services throughout the nation. Specifically, the USF programs provide funding for the expansion of telecommunications and broadband access to rural communities and health care facilities, schools and libraries across the country, and low income households. Through program administration, auditing, and outreach, USAC works with contributors, service providers, and program beneficiaries to achieve the program goals articulated by the FCC for each of these programs.

    USAC administers the USF programs—High Cost, Lifeline, Rural Health Care, and Schools and Libraries. USAC strives to provide efficient, responsible stewardship of the programs, a key national asset in making important telecommunications and Internet services available to consumers, health care providers, schools, and libraries throughout the United States. The program divisions are supported by additional USAC personnel in Finance, General Counsel, Information Systems, Internal Audit, the Enterprise Program Management Office and Human Resources. Consistent with FCC rules, USAC does not make policy for or interpret unclear provisions of statutes or the FCC’s rules.


    Universal service is paid for by contributions from telecommunications carriers, including wireline and wireless companies, and interconnected Voice over Internet Protocol providers, including cable companies that provide voice service, based on an assessment of their interstate and international end- user revenues. These contributions are most typically passed through to consumers through a universal service fee line item on their telephone bills.
